1. Purpose
This policy aims to:
- Enhance efficiency and accuracy in recording employee attendance.
- Ensure transparency in managing leave and absences.
- Monitor employee locations during during recording employee attendance process.
- Provide clear guidelines for employees on using the attendance system.
2. Scope
This policy applies to all employees of PT. Kaldu Sari Nabati and Employee under Nabati Group, including permanent, contract, and internship staff.
3. Features and Usage of the Attendance System
3.1 Attendance Recording
- Employees must record their attendance (check-in) and departure (check-out) daily using the attendance application.
- Check-in must be done within 15 minutes after the start of working hours.
- Check-out must be done at the end of working hours.
- If an employee forgets to check-in/check-out, they must update into HC Portal System and approved by superior with a valid reason.
3.2 Leave Submission
- Employees can submit leave requests through the attendance application by filling out the leave request form.
- Types of leave include: annual leave, sick leave, maternity leave, special leave, and unpaid leave.
- Leave requests must be approved by the direct supervisor and HRD at least 3 days before the leave date (except for emergency sick leave).
- Employees must attach supporting documents (e.g., doctor's note for sick leave).
3.3 Employee Location Storage
- The application will automatically store the employee's location during check-in and check-out.
- Location data will only be used for operational purposes and will not be misused.
4. Rules and Sanctions
4.1 Tardiness
- Check-in delays of more than 15 minutes will be recorded as tardiness.
- More than 3 instances of tardiness in a month will result in disciplinary action.
4.2 Unauthorized Absence (Absent Without Leave)
- If an employee fails to check-in without a valid reason, it will be considered an unauthorized absence (AWOL).
- More than 2 instances of AWOL in a month will result in disciplinary action.
4.3 System Misuse
- Misuse of the attendance system, such as manipulating location or attendance data, will result in strict disciplinary action.
5. Privacy and Data Security
- The company ensures the confidentiality of employee attendance and location data.
- Data will only be accessed by authorized personnel, such as HRD and direct supervisors.
- Employees may request access to or deletion of their personal data in accordance with applicable privacy regulations.
6. Training and Support
- The company will provide training on the use of the attendance application to all employees.
- Technical support can be accessed through the IT or HRD team if employees encounter issues with the application.
7. Policy Revision
This policy may be revised according to the company's needs. Any revisions will be communicated officially to all employees.
